The Donor Database Coordinator is primarily responsible for the processing, acknowledging, and tracking of all donor contributions to the Museum’s programs/projects in accordance with both Museum and IRS regulations. This individual must be able to navigate Raiser’s Edge to generate a wide array of reports, mailing lists, prospect lists, etc, and also provides support for the Museum’s accounting department in reconciling the database with the Museum’s accounting software. This position is also responsible for the overall integrity and cleanliness of the Museum’ Raiser’s Edge database, and must be flexible to assist with a fluctuating workload and other Institutional Advancement projects as assigned.
- Performs data entry to process and track all Museum donations, including individual, foundation, grant, capital, and in-kind contributions to the appropriate funds/projects
- Prepares and mails donor acknowledgement letters for each donation received in a timely manner
- Responsible for generating member/donor reports
- Provides support for the Museum’s accounting department in reconciling the database with the Museum’s accounting software on a monthly basis, adjusting discrepancies, and supporting the Museum’s annual financial audit
- Provides support for the Museum’s fundraising objectives, which includes substantial improvement of database tracking, reporting, and management to support the development of a major gifts program
- Responsible for the accuracy, integrity and cleanliness of the database
- Provides training, support, and backup for the Membership Database Coordinator as necessary
- Pulls mailing lists as needed
- Maintains donor filing system
- Processes and tracks direct mailing(s)
- Assists with other Institutional Advancement projects as assigned, including staffing donor events.
Qualifications & Skills
- Demonstrated proficiency in database, spread sheet and word processing software required (MS Office)
- Raiser’s Edge experience required
- Accounting background helpful
- Organized, efficient, meticulous, and detail-oriented
- Ability to work independently
Education
- Bachelor’s Degree or equivalent work experience
- Ability to read, write, speak and comprehend English
Salary: $40,000 – $45,000
Hours: Full-time
